TTCSI Position – 3 Year Contract

JOB TITLE: EXECUTIVE ASSISTANT to the CEO

JOB SUMMARY: The Executive Assistant to the CEO of TTCSI, will play a pivotal role in ensuring the efficient and smooth operation of the CEO’s office and will be responsible for handling a wide range of administrative and executive support tasks to enhance the CEO’s productivity and the overall functioning of the organization. This role requires exceptional organizational skills, discretion, and a proactive mindset. The Executive Assistant will report directly to the CEO.

KEY DUTIES AND RESPONSIBILITIES:

  • Executive Support:
    • Manage the CEO’s calendar, appointments, and meetings, coordinating with internal and external stakeholders.
    • Prepare and edit documents, reports, and presentations for the CEO.
    • Handle sensitive and confidential information with the utmost discretion.
  • Communication:
    • Act as the primary point of contact between the CEO and internal/external parties.
    • Manage emails and correspondence on behalf of the CEO, ensuring timely responses.
  • Travel Coordination:
    • Arrange domestic and international travel for the CEO, including flight bookings, accommodations, and itineraries.
  • Administrative Support:
    • Assist in preparing for board meetings, conferences, and events.
    • Maintain and organize the CEO’s files and records.
    • Prepare and process expense reports and other financial documentation.
  • Project Assistance:
    • Support the CEO in various projects and initiatives, conducting
      research and analysis as required.
  • Office Management:
    • Ensure the CEO’s office is well-organized and stocked with necessary
      supplies.
    • Liaise with other staff and departments to facilitate smooth office
      operations.
  • Any other tasks assigned by the CEO.

REQUIRED SKILLS AND CORE COMPETENCIES:

  • Excellent presentation, oral and written communication skills
  • Excellent analytical and problem-solving skills
  • Good interpersonal skills including good coordination and effective working relations with stakeholders and other colleagues
  • Excellent planning and time management skills and ability to work under pressure and meet tight deadlines
  • Multitasking: The ability to manage multiple tasks, priorities, and responsibilities simultaneously.
  • Proficiency in the use of Microsoft Office suite of applications

QUALIFICATIONS AND EXPERIENCE:

  • Associate Degree in Business Administration  
  • Proven experience as an executive assistant or in a similar role.
