TTCSI Position – 1 Year Contract
JOB TITLE: Admin Officer
JOB SUMMARY: The Admin Officer to the CEO of TTCSI, will play a pivotal role in ensuring the efficient and smooth operation of the CEO’s office and will be responsible for handling a wide range of administrative and executive support tasks to enhance the CEO’s productivity and the overall functioning of the organization. This role requires exceptional organizational skills, discretion, and a proactive mindset. The Executive Assistant will report directly to the CEO.
KEY DUTIES AND RESPONSIBILITIES:
- Executive Support:
- Manage the CEO’s calendar, appointments, and meetings, coordinating with internal and external stakeholders.
- Prepare and edit documents, reports, and presentations for the CEO.
- Handle sensitive and confidential information with the utmost discretion.
- Communication:
- Act as the primary point of contact between the CEO and internal/external parties.
- Manage emails and correspondence on behalf of the CEO, ensuring timely responses.
- Travel Coordination:
- Arrange domestic and international travel for the CEO, including flight bookings, accommodations, and itineraries.
- Administrative Support:
- Assist in preparing for board meetings, conferences, and events.
- Maintain and organize the CEO’s files and records.
- Prepare and process expense reports and other financial documentation.
- Project Assistance:
- Support the CEO in various projects and initiatives, conducting
- research and analysis as required.
- Office Management:
- Ensure the CEO’s office is well-organized and stocked with necessary
- supplies.
- Liaise with other staff and departments to facilitate smooth office
- operations.
- Any other tasks assigned by the CEO.
- REQUIRED SKILLS AND CORE COMPETENCIES:
- Excellent presentation, oral and written communication skills
- Excellent analytical and problem-solving skills
- Good interpersonal skills including good coordination and effective working relations with stakeholders and other colleagues
- Excellent planning and time management skills and ability to work under pressure and meet tight deadlines
- Multitasking: The ability to manage multiple tasks, priorities, and responsibilities simultaneously.
- Proficiency in the use of Microsoft Office suite of applications
- CANVA/have basic graphic skills is a plus
- QUALIFICATIONS AND EXPERIENCE:
- Associate Degree in Business Administration
- Proven experience as an executive assistant or in a similar role.
